The honest limits
The free tier is genuinely usable — and engineered so growing businesses eventually hit walls. Published limits only, checked August 2026.
Most write-ups of HubSpot's free tier are out of date. "Unlimited contacts" ended in September 2024: new free accounts cap at 1,000 contacts (accounts created earlier kept the old 1,000,000 allowance — which is why your friend's free account may hold 40,000). "Unlimited users" is now 2. Document libraries, quotes and built-in calling minutes moved to paid tiers. If anything here ever disagrees with hubspot.com, trust hubspot.com — this report catches up at its next re-check.
HubSpot branding everywhere. Marketing emails, forms, chat, booking pages and hosted pages all carry HubSpot's badge; the favicon on free sites isn't customizable. Removal starts with paid tiers.
1,000 contacts (new accounts). The wall an active business hits first. Past it, pricing is per seat — Starter from $20/month per seat.
2 users, 1 deal pipeline, 1 shared inbox, 1 booking link. The third teammate, second sales process or second calendar is the upgrade trigger.
Automation is a taste, not a tool. One automated action, one automated email per form. Multi-step workflows — the thing HubSpot is famous for — are entirely paid.
Small ceilings on the sales tools. 3 email templates, 3 snippets, 200 open-alerts a month, 10 custom properties, 10 active lists, and record history that shows only the last 30 days of activity.
Not free, despite what old guides say: social media posting and scheduling, document libraries, quotes, and built-in calling minutes. On free, "social" means the Messenger integration and the ad tools.
